Help & Documentation

Guides for getting your workspace set up, running it day to day, and keeping it secure.

Getting Started

1. Create your workspace

Pick a plan on the pricing page and complete checkout, or start from Contact if you need a manual invoice arranged first. Creating a workspace makes you the Company Owner for your organization — the role with full administrative access.

2. Invite your team

From Users in your dashboard sidebar, add teammates by email. Each plan has a maximum active user count; the Users page shows how many seats you've used and how many remain. New users receive an email with instructions to set their password and sign in.

3. Install the desktop agent

Time tracking, screenshots, and app-usage data are collected by a small desktop application called the Agent, not by the web dashboard itself. Employees download and install it from the link on the homepage (Windows, macOS, and Linux builds are available), then sign in with their workspace credentials. The agent runs quietly in the background and only tracks time while a session is actively started.

4. Everyone else just signs in

Employees use the same login page as owners and admins — what they see afterward depends entirely on their role. An employee's dashboard shows their own time, tasks, and reports; it never shows another employee's data.

User Guide

Time tracking

Start and stop tracked sessions from the desktop agent. The Time Entries page in the web dashboard shows today's sessions, and your history further back, including total tracked minutes and an activity score for each entry. If a session is left running with no activity, an idle warning appears first, followed by an automatic stop after your workspace's configured idle threshold — this protects you from an accidentally-open timer inflating your hours.

Tasks & Projects

Work is organized into Projects, which contain Tasks. Depending on your role, you may be assigned to specific projects rather than seeing every project in the workspace. Tasks can be tracked directly, linking your time entries back to the work they were spent on.

Screenshots & activity

While a session is running, the agent periodically captures a screenshot on the interval your workspace has configured, alongside a lightweight activity score based on keyboard and mouse input. The Screenshots page groups captures into a scannable timeline rather than a raw list, so reviewing a day takes a glance, not an investigation.

Notifications & reports

The Notifications page surfaces things that need your attention — approvals, plan or billing events, and system messages. Reports give you a readable summary of your own worked time, activity, and app usage over a selected date range.

Admin & Owner Guide

Users & roles

Company Owners can add, deactivate, and manage roles for every user in their organization from the Users page. Roles determine what a person can see and do — an Employee cannot see payroll or billing; an Admin has broader operational access but not full ownership controls.

Payroll

Available on Growth-tier plans and above. Set each employee's compensation (hourly rate or salary, with an effective date) from Payroll, then create a Pay Run for a date range. A pay run moves through Draft → Calculated → Approved → Closed: calculating pulls in tracked hours and applies your overtime rules, deductions can be added before approval, and a pay slip's net pay must be non-negative before it can be approved. Payslip PDFs and CSV exports are available at every stage.

Subscription & billing

The Subscription page shows your current plan, usage against its limits, and billing history. Plan changes and new subscriptions are processed through Stripe Checkout; managing an existing paid subscription (updating a card, canceling) opens Stripe's secure customer portal.

Settings

Configure session guardrails (idle warning, auto-stop, and stale-session thresholds), the screenshot capture interval, and payroll defaults (pay frequency, overtime threshold and multiplier) from Settings. These apply workspace-wide and take effect on the next tracked session or pay run.

Agent Access

The desktop agent authenticates using a workspace-scoped access key rather than a personal password. Owners and Admins can view and manage these from Agent Access.

Security

Tenant isolation

This platform hosts many organizations' workspaces on shared infrastructure. Every request is scoped to the signed-in user's organization at the data layer — not just filtered in what's displayed — so one workspace's time entries, screenshots, users, and billing records are never reachable from another.

Role-based access

Access follows the principle of least privilege by default. Employees see their own work; Company Owners and Admins see their organization's data; platform administration is a separate role entirely, walled off from tenant data and used only for platform-level operations like plan management and support.

Encryption

Traffic between your browser or the desktop agent and the platform is encrypted in transit (HTTPS). Sensitive configuration — such as payment provider credentials — is encrypted at rest and is never displayed again in full once saved, only as a partially masked preview, whether it was configured on the server or entered through the product's own admin tools.

Monitoring data handling

Screenshots and activity data are captured only while a session is actively tracked, and are subject to your workspace's configured retention period, after which they're automatically cleaned up. We encourage every organization to review the Workforce Monitoring & Employee Privacy Notice and share it with employees before enabling monitoring features, so expectations are clear on both sides.

Session integrity

Idle warnings, automatic session stops, and stale-session cleanup aren't just convenience features — they prevent forgotten or orphaned sessions from silently accumulating inaccurate hours or activity data.

Agreements & Policies

What you're agreeing to, in plain language

When a Company Owner creates a workspace or starts a subscription, they're agreeing to our Terms of Service on behalf of their organization. In short: keep account details accurate, use the platform lawfully, pay for the plan you've subscribed to, and use monitoring features responsibly and in line with applicable law in your jurisdiction. We, in turn, commit to the data handling and security practices described in our Privacy Policy and this documentation.

This summary is for orientation only — the documents linked below are the actual, binding versions and take precedence over anything summarized here.

Frequently Asked Questions

Yes. The web dashboard is where you review and manage data, but the agent is what actually starts and stops tracked sessions and captures screenshots and activity on the employee's machine.

Yes, employees can review their own time entries, screenshots, and reports. They cannot see other employees' data unless their role grants broader access.

Overtime is based on a configurable threshold and multiplier set in Settings, applied per pay period. The default threshold scales automatically with your chosen pay frequency (weekly, biweekly, semimonthly, or monthly) rather than assuming a fixed 40-hour week.

Your workspace immediately reflects the new plan's limits (users, storage, retention). If you're currently over a new, lower limit, you'll be prompted to bring usage within range - for example by deactivating users beyond the new seat count.

Yes. Pay runs support CSV export and per-employee payslip PDFs, and screenshot storage/retention reporting is available from the Admin and Settings areas depending on your role.

Your workspace and its data remain available for the remainder of any current billing period. Specific retention after cancellation is described in the Refund & Cancellation Policy.

Only the Company Owner role can change plans, manage billing, or view invoices for their organization.

No. Every organization's data - time entries, screenshots, users, billing - is isolated at the data layer and is never visible to another organization.
